Ask attendants for Feedback after bookings
The feedback feature allows publishers to submit reports about their activities after participating in a reservation (shift or item booking). This might include information such as: positive and negative experiences, number of literature items distributed, conversations had, and contact information received. Depending on the configuration, the system can automatically remind publishers to submit their missing feedback or allow them to track specific publications from the inventory.
Admin Area: Calendar Settings
Coordinators can configure how the feedback system works for their calendar under 'Calendar Settings -> Feedback'.
Deactivate entire feedback functionality
Completely disables the feedback feature for the calendar. When checked, users will not be asked to submit feedback, and the feedback-related menus will be hidden.
Where it appears / Effect:
Use this if your congregation or group does not require any reporting or feedback after shifts.
Send email requesting feedback
If a publisher has a reservation that is in the past, and they have not submitted a feedback yet, the system will automatically send them a reminder email.
Where it appears / Effect:
Use this to ensure publishers don't forget to submit their reports. This only works if the feedback functionality is NOT disabled.
Ask the publishers to provide feedback on submitted publications
Enables an integration with the Inventory system. Publishers will be able to specifically select which and how many specific items (e.g., specific tracts or books from your inventory) they placed during their shift. Prerequisite: You must have an inventory set up in the system.
Where it appears / Effect:
Use this for detailed tracking of specific publications.
Show only detailed publication reports in feedback
Instead of showing generic input fields (like generic 'Books' or 'Tracts'), the feedback form will only show the detailed items pulled from the inventory. This ensures that users select the exact publications they gave away.
Where it appears / Effect:
Use this to maintain strict and accurate inventory tracking.
Literature gets automatically taken off the inventory when feedback is recorded
When a publisher submits their feedback and indicates they distributed specific literature, those items are automatically subtracted from the calendar's inventory stock.
Where it appears / Effect:
Automates inventory management based on actual placement data.
Remove negative experiences field
Hides the text box for 'Negative experiences' in the feedback form that publishers fill out.
Where it appears / Effect:
Use this if you want to focus purely on positive experiences and statistical data.
Coordinator / Admin Views
Coordinators have several tools to review and manage feedback.
Feedback Reports
A comprehensive report of all submitted feedback within a selected date range. Features include filtering by date range and campaign, viewing sums and statistics, exporting data to Excel, and editing or deleting specific feedback entries.
Missing Feedback (Admin View)
A list of past reservations where the assigned publisher has not yet submitted their feedback. Coordinators can see who is missing feedback, manually submit feedback on behalf of the publisher, and bulk remind selected publishers.
Standard User (Publisher) Views
For standard users, interacting with the feedback system is primarily about submitting their reports and viewing their past reports.
Submit Feedback
Opens the form where the publisher enters their statistics (talks, publications placed, positive/negative experiences). The fields shown depend on the Calendar Settings configured by the coordinator.
My Missing Feedback
A dashboard view showing the publisher which of their own past reservations are still awaiting feedback. Clicking on an entry allows them to submit the feedback.
My Feedback
A history of all feedback the publisher has submitted. They can view the details of their past reports.
Missing Feedback (All users with right)
If a standard user is granted the 'Show missing feedback' role, they can see a list of unsubmitted feedback for other publishers. This is useful for group leaders or assistants who help collect reports but aren't full coordinators. They can enter the data on behalf of others.
User Profile Settings
Users (often coordinators or group overseers who get notified of incoming feedback) can opt out of receiving an email notification every time someone submits a feedback form.
Summary of Data Collected
A standard feedback form (when fully enabled) collects numerical data (Books, Brochures, Magazines, Tracts, Videos, Conversations, Contact info received, Contact cards) and text data (Positive experiences, Negative experiences).
