Using the flexible calendar

How to set up and configure the flexible calendar. Learn what options are available and how publishers can book slots.

Open Settings

When to use that

The flexible calendar booking variant is ideal when publishers need to reserve carts or literature stands at specific locations for custom, flexible time slots rather than predefined shifts.

Defining opening and closing times

Open Settings

Coordinators can configure opening hours and maximum reservation lengths for each weekday. This determines when and for how long publishers can book slots.

Configuration options

Configure behavior settings such as the minimum number of participants required per booking, automatic confirmations, and registration parameters.

Ask additional questions

Coordinators can define custom questions that publishers must answer when booking a slot, such as safety checks or route selections.

Defining bookable items

Add and manage bookable items, such as specific carts, locations, or literature stands, that publishers can choose during reservation.

How to create a booking / reservation

Publishers can navigate to the public calendar view, select a free date and flexible time range, choose their cart or item, and optionally invite partners to join their booking.

To save time, publishers can schedule reservations that repeat on a regular weekly interval.

Weekly Recurrence Rules

What it does:

When enabled by the administrator, publishers can select a checkbox to make their reservation repeat weekly. The system automatically creates reservations for subsequent weeks.


Where it appears / Effect:

Administrators can enable this setting under the 'Behavior' section (tab 2). It appears on the public calendar booking form.
